Plans, registers and documents

Plans, registers and documents that write themselves for every project and workplace

Set a document up once as a template. From then on it's filled in from the record and your organisation's own details whenever you need it: one at a time, for a hundred records at once, at a stage in a workflow or on a schedule.

Why we built Obliwise

We worked in project-based businesses. Every new project, every new workplace and every new client meant the same safety management plan, the same registers and the same set of documents, copied from the last job and customised by hand. New names, new dates, new locations, the client's own requirements, the high risk work this particular job involved. Every time.

The work was the same from one job to the next, and so was the retyping. A clause fixed in one plan stayed wrong in the others, and nobody could say with confidence which copy was current. That's the part we wanted a platform to do, and it's what set us building Obliwise.

From the record to the finished document

A template is set up once for your whole organisation. Each document it produces is filled in from what's already recorded, so nobody retypes it.

  1. Set the template up once

Headings, paragraphs, fields, tables, signature blocks and approval history, laid out in a visual builder with a preview. Publish it when it's right. Every published version is kept, and you can compare any two.

  2. It reads from the record

Each field on the template points at something the platform already holds: a value on the record, your organisation's details, the person producing it, or the rows of a saved register view.

  3. It's produced when it's needed

From the record itself, at the stage in a workflow where it's due, on a schedule, or for many records at once.

  4. It joins your document library

A finished document can be published into the library, filed in a folder, sent to the people who need to read it and put under the same approval and version control as every other controlled document.

What a template can do

A plan for one job is rarely the same as the plan for the next. A template can be written to cope with that, so one template does the work of many copies.

  • Sections that appear only when they apply

A section can carry a condition, so it's included only when the record says it's needed. The same template produces the short document and the long one.

  • Tables that grow with the record

A table repeats a row for every item on the record. It can also be filled from a saved register view, so the list in the document is the list in the register.

  • Numbered and paged

Each document can be numbered in your own format, with the year, a prefix and a running sequence. It comes out as a PDF, a Word document or an email, with page numbers on every page.

  • Gaps you can see

For each field you decide what happens when the record doesn't have a value yet: show your own fallback text, leave it blank, or stop the document being produced until the value is there.

  • Signatures and sign-off

Signature blocks and the record's approval history can be placed in the document, so it shows who signed and who approved.

  • Attachments and images

Photos and the files attached to the record can be laid out in the document, each with its name and size.

Standard wording, written once

Some wording has to be the same in every plan and every document: a policy statement, a legal clause, a safety warning, a disclaimer above a signature.

  • Held once, placed everywhere

Standard wording is kept as controlled content and placed into your templates. Each new version is reviewed and approved before it's published, and the person who wrote it can't approve it.

  • You can see what's behind

When a newer version of the wording is published, a template still using an older one tells you so, naming the version it holds and the latest one. You move it across on purpose, rather than hunting through old copies.

One record, a hundred records, or every month

  • Many records in one go

Produce a document for each of many records at once. A larger run works in the background and you're told when it's done. The owner of each record is told theirs is ready, and the whole set downloads as one file.

  • At the right stage of the work

A workflow can produce a document when a record reaches a stage, and send it to the people in the role you name. Nobody has to remember to do it.

  • On a schedule

Set a document to be produced on a schedule, from the record's own page or alongside the rest of your scheduled work.

  • An evidence bundle when you're asked

When an auditor, a regulator or a client asks for the evidence, an evidence bundle gathers the reports and attachments into one download.

A new project doesn't start from a blank page

The first job is the hard one. After that, each new project should start from what you already know works.

  • A whole process in one step

A pack installs a complete process at once: the module, its forms, its workflow, its document templates and its schedules. If any part can't be installed, none of it is. Then it's yours to change.

  • A library to start from

Inspection checklists, pre-start checks, permit types, toolbox talks, training courses and risk assessments are ready to install, and you change them however you like.

  • The project in one place

A project holds its people, its locations and the high risk work it involves. Incidents, risks, permits, actions and other records link to it, with its recent activity alongside. See the Projects module.

Change the shape without a ticket

  • Builders your own team can use

When a client asks for a new register, an extra field on a checklist or another stage in an approval, your team makes the change in the form, module, workflow and layout builders, previews it and publishes it. See the builders.

  • Requirements that follow your records

The obligation engine holds what you have to meet as rules, each with its source, and raises the duty when your records say it's due. See how rules work.

Bring us the plan you rewrite for every job.

Send us the safety plan, register or document you customise for each new project. We'll set it up as a template with you and produce it from a real record, so you can watch the retyping disappear.
