Workplace sign-in and visitors
Everyone who comes onto your premises is signed in, checked against what they are required to hold, and accounted for if something goes wrong.
What it does
Sign in the way the entrance allows
A tablet at the door, a code scanned with a phone, a tap of a card, or a text message for somebody with nothing installed. Each entrance is set up on its own, so a gatehouse and a remote crew do not have to work the same way.
Checked before they are let in
Inductions, training, licences and credentials, medical clearances, insurances, permits, the standing of their employer, an emergency contact, and how many people an area may hold are all checked as the person signs in. Each check can warn or refuse, and the refusal says which one it was.
Visitors expected rather than intercepted
A visitor can be registered before they arrive so the day runs smoothly. Their host is told when they turn up, and where you require it the host approves the visit before the person is let through.
Who is here, right now
A live list shows everyone currently signed in, by location and by area. The emergency roll call counts against the same list, so an evacuation is checked against who actually signed in rather than against a printed sheet.
The things you do at the door
An induction, a toolbox talk or a short form can be completed at the kiosk as part of signing in, with a photograph and a signature captured where you want them.
Signing out without relying on memory
People sign themselves out on the way past, and anyone still signed in after the number of hours you nominate is signed out automatically, so the list stays honest overnight.
A whole crew, and a worker you can look up
A supervisor can sign in a crew in one go. Where someone is queried at the entrance, their passport of what they hold and what has lapsed can be opened on the spot.
The record afterwards
History is kept, filtered and exported for whoever asks. Visitor details are held for the period your organisation sets and removed when it ends, and each entrance can carry its own message to whoever signs in there.
How it fits with the rest
Sign-in is where the rest of the platform is put to the test. The induction recorded in training, the licence held against a worker, the insurance a contractor uploaded through their portal and the permit issued for the work are all read at the moment the person presents themselves, so a lapse that was invisible in a spreadsheet becomes an answer at the door.
The people who sign in are the people already in the platform: employees, contractor workers and visitors with their own records. Nothing is typed twice, a refusal names the person and the check it failed, and the people who run the entrance are told when somebody is turned away so the matter can be sorted out rather than left in the car park.
Emergency management reads the live list for a roll call, and every visit stays on the person and the location for reporting afterwards.
Ready-made content
Sign-in works as soon as a location is created. You choose which methods that entrance offers, what is required before someone is admitted, whether a host must be told or must approve, how long visitor details are kept, and when people are signed out automatically. The kiosk is built for a tablet at a doorway, with large touch targets and screens a person can use in gloves.
The content people complete at the door comes from the packs that install with the platform: the induction pack for a first visit, and toolbox talk packs for the short talks delivered at the start of a shift. Both are ordinary forms, so your team or ours can change the questions, the order and the wording to match what you already ask people.
