Injury management and claims
When somebody is hurt, the weeks that follow are about care, contact and getting them back to work. Injury records, capacity, return to work plans and the claim sit together, with health information kept apart.
What it does
The injury record
An injury is raised from the incident that caused it or entered on its own. It records what happened, the part of the body affected, the classification the regulator uses, the treatment given and who is providing it.
Health information kept apart
Clinical detail is separated from the rest of the record and needs access of its own. A coordinator can arrange appointments and chase paperwork without seeing clinical information, and every time a clinical record is opened, that is recorded too.
Capacity read from the certificates
Certificates of capacity are captured against the record with the scanned certificate shown beside the fields. Days of restricted capacity and lost time are worked out from the certificate dates and the arrangements in place, and where that disagrees with the figure somebody typed, the difference is stated rather than quietly overwritten.
Return to work plans that reach the people who act on them
A plan is built from a library of suitable duties, with hours, restrictions, review dates and a target for full duties. It can be sent to the supervisor and manager who have to make it happen, and acknowledged in the app, through a signed link or on paper, with the acknowledgement naming which version was agreed.
The claim as its own record
A claim carries its parties, its correspondence, its costs and what has been lodged. Costs are recorded line by line, so what has been paid and what is still running is visible without a separate spreadsheet.
Earnings worked out, not guessed
Pre-injury average weekly earnings are calculated from the pay information you enter, using a version of the formula that names the rule it comes from and shows its working for a person to confirm. Where the information is not enough, it says so rather than producing a number.
Dates that matter, tracked
Statutory time limits, appointments and plan reviews are tracked and listed ahead of time. A claim pack can be sent to the insurer or scheme contact by email with its documents attached, and what was sent and when stays on the claim.
Rates you can report honestly
Injury frequency rates are worked out month by month from the records and the hours you supply. When the hours for a period are not known, the rate is left blank and says why, rather than being estimated into a chart.
How it fits with the rest
An injury usually begins as an incident, so the record is created from it and keeps the link. Where the harm came from an exposure rather than an event, the injury can be tied to the monitoring record that evidences it. The injured person is whoever they are in the platform, an employee, a contractor worker or a visitor, so their employer, location and project come with them.
Health information is deliberately not shared with everyone who can read an incident. Clinical records sit behind their own access, separate from the incident and separate from the general registers, and reads of them are logged. That is what allows the parts of the job that are not clinical, arranging an appointment, rostering a modified duty, chasing a certificate, to be done by the people who should be doing them.
The follow-up work is ordinary work. Actions raised during a case appear in the Actions register with everything else, documents produced from the record are kept with the case, and the reporting rolls up alongside the rest of your injury statistics.
