Contractors

The companies you engage bring their own people, equipment and obligations into your operation. Onboard them once, keep their insurances and licences current, and know before work starts whether they are cleared to do it.

What it does

A record for every company and every worker

The register holds each company you engage and the people they bring with them. One page carries the company profile, its workers, its documents and the work it has been engaged for.

Prequalification with a clear answer

Requirements are grouped into profiles, so a labour hire provider is asked for different evidence from a cleaning contractor. A dashboard shows at a glance what is missing, what has expired, what expires soon and what is valid.

Insurances and licences that cannot quietly lapse

Every document carries an expiry date and the name of whoever submitted it. Where a requirement is marked as blocking, a lapse suspends the company until it is fixed, instead of waiting for somebody to notice.

A portal of their own, so they keep it current

Contractors sign in to a small portal to upload documents, see what is still required of them, check their own workers, request permits and read their performance score. They see their company and nothing else.

The chain below the first contractor

A contractor can be engaged by another contractor. The record shows who engaged whom, and a head contractor can invite its subcontractors in under the same requirements.

Workers onboarded without retyping

Workers can be loaded in bulk from a file or register themselves and be invited into the portal. Photographs, worker classes and the requirements attached to each class are held against the person, not the paperwork.

Performance you can show them

A scorecard is built from evidence already in the platform: reviews you record, documents, incidents, audits, training and feedback captured on projects. The trend is visible over time, and a contractor who disagrees with a score can respond to it on the record.

Modern slavery and responsible procurement

A supplier questionnaire covers policies, supply chain visibility, workforce arrangements and how grievances are handled, and the answers sit on the contractor record with everything else.

How it fits with the rest

A contractor worker is a person in the platform like any other, so the licence they hold, the induction they completed and the permit they were named on all belong to them rather than to a folder. That is what makes the prequalification worth keeping current: the evidence is read at the moment it matters.

At the entrance, sign-in checks what the person and their employer are required to hold, and can refuse entry when something has lapsed. A permit can require a current licence before it is issued. Incidents, audit findings and corrective actions recorded against a contractor feed their performance score, and work grouped under a project carries the contractors engaged on it.

Expiry is handled ahead of time rather than reported afterwards. Renewals are raised before the document runs out, the company is told what is outstanding through its portal, and a blocking lapse suspends the engagement rather than leaving a gap nobody sees.

An Australian contractor pack installs with the module: a statutory baseline profile covering workers compensation insurance and a current modern slavery assessment, labour hire licence profiles for Victoria, Queensland and South Australia, and a modern slavery supplier questionnaire that asks the questions in plain words. A contractor review pack adds the annual review form, its approval cycle, the review document and the yearly reminder.

Alongside them, an induction pack covers bringing a new worker or company onto your operation, and licence packs supply the credential types your workers carry, including high risk work licences and working with children checks for the states that issue them. Every requirement, profile, form and document can be edited, and your team or ours can add the ones particular to your industry.
